Assistant Property Manager

 

Description:

Urgently Looking for Assistant Property Manager to report to the Head of Department and perform administrative and organizational duties, oversee the operation of residential and commercial real estate properties including existing lease administration, maintenance, the day-to-day property-related functions, and tenant relations of the designated properties, understand and satisfy needs of landlords and tenants.

 

Principal Duties & Responsibilities (Essential Functions)

  • Develop sustainable relationships with all internal and external stakeholders
  • Ensure that landlord, property, and lease files are properly maintained and kept up to date in accordance with the related laws/procedures and company policy
  • To act as a liaison between landlords and their tenants
  • Maintain timely communication with the landlord in the matter of ongoing tenant’s concerns, requests, necessary approvals for rent value/maintenance quotations, and other
  • Provide excellent tenant services. Respond to tenant leasing requests/problems in a timely manner. Provide support for escalated maintenance/operational complaints and requests via a detailed report and prepare defect liability reports and arrange quotations for works
  • Collect rent in way of cheques/cash and handle late payments/nonpayment/bounced cheques in a timely manner
  • Perform tenant screening
  • Preparation of property inventory lists and keep records updated throughout leases cycle
  • Tenancy Contract preparation
  • Tenancy Contract registration in Ejari/DIFC systems
  • Update tenants/landlords records in CRM and related filings
  • Ensure tenant responsibility in utility bills payment
  • Follow–up with the tenant to ensure satisfactory resolution of any issues
  • Proactively manage the property to minimize tenants complaints
  • Perform all necessary functions to facilitate the Tenant Move In/Move Out procedures
  • Assist and orient new tenants on facilities rules and regulations
  • Oversee lease contract renewals and prepare and obtain approvals on renewals rates
  • Conduct periodic inspections of the property and tenants spaces to ensure compliance with the leases
  • Manage all the affairs with the third parties contractors/vendors
  • Maintenance Invoice and Maintenance Report preparation
  • Maintenance jobs record keeping
  • Screening the new, existing & vacating tenants for payments with regards to arrears of the assigned portfolios
  • Updates and monitors compliances with relevant government real estate policies and procedures
  • Preparing monthly reports along with other occupancy reports as & when required by the landlords
  • Timely update Manager on all upcoming/vacant units
  • Other ad-hoc duties as assigned by the management;
  • Able to multi-task productively & handle other essential tasks as assigned by the supervisor
