Event Executive

 

Description:

As an Events Executive you are responsible for the success of the meeting, catering and event segment of the hotel. You will secure the business, plan the meeting / event, co-ordinate with hotel operations and clients before, during and after each meeting / event and your role will include key responsibilities such as:

  • Responsible for selling off-site events and locations
  • Planning event with attention to financial and time constraints
  • Handle all meetings and catering enquiries according to standard procedures
  • Research vendors (catering, decorators, musicians etc.) and choose the best combination of quality and cost
  • Act as a one-stop shop for clients for detailed event planning and work closely with operations, food & beverage management, finance, and external suppliers
  • Satisfy the need of the clients whilst optimizing retreat revenue through strategic yield management and up selling of retreat facilities and services
  • Work closely with the Team to achieve monthly sales target
  • Conduct site inspections, client entertainment and familiarization
  • Send all correspondence to clients regarding banquet events, such as proposals, confirmation or agreement letter, amendments, etc
  • The full events cycle from planning to execution
  • Evaluate event’s success and submit reports
  • Self-motivation and ability to work under pressure
  • Exceptional project management skills and the ability to manage multiple tasks and prioritize accordingly
  • Proactivity with pleasant manner and ability to work as part of a team
  • Respond to requests for proposals for small meetings / events including set-up, food and beverage needs, rooms and audio visual needs.
  • Any other job related assigned by the management

The ideal candidate will be customer driven and with an extremely proactive and focused personality and an outgoing, charismatic, and approachable character. You will work well under pressure in a fast-paced environment and be a great team player, portraying a structured and goal oriented work philosophy and possessing following additional competencies:

  1. Proven experience as event coordinator
  2. A proven track record of organizing successful events
  3. Outstanding communication and negotiation ability
  4. Well-organized with multi-tasking skills
  5. Able to handle stress and remain calm
  6. Problem-solving ability
  7. Degree in hospitality management, public relations or relevant field is preferred
