Admin Project Coordinator

 

Description:

We are urgently looking for a reliable and proactive Admin cum Project Coordinator (only candidates on a UAE Spouse Visa will be considered) to support both administrative operations and on-site project coordination. The role requires at least one year of UAE experience and the ability to communicate confidently with clients and internal teams.

Administrative Duties:

  • Manage day-to-day office tasks, maintain accurate documentation, and organise schedules and appointments.
  • Act as the first point of contact for clients — answer and place calls, handle enquiries, and manage client relationships professionally.
  • Prepare and process quotations, invoices and Statements of Account (SOA); manage routine office correspondence.
  • Coordinate with internal staff, suppliers and logistics teams to ensure timely execution of office and project requirements.

Project Coordination Tasks:

  • Monitor project timelines and follow up to ensure milestones and deadlines are met.
  • Coordinate tasks and resources between on-site teams and office staff.
  • Prepare and distribute project progress reports and status updates to stakeholders.
  • Follow up on payments and assist with collections and reconciliations as required.
  • Basic accounting knowledge is advantageous for handling invoices and payment tracking.

Requirements:

  • Minimum 1 year of relevant UAE experience in administration, project support or a similar function.
  • Proficient in MS Excel and MS Word.
  • Strong communication and coordination skills; comfortable making client calls.
  • Flexible to work from home or attend the office as needed.
  • Familiarity with basic accounting principles is a plus.
