Description:
We are seeking a mature, reliable, and detail-oriented Administrative Assistantto join our client’s team in Dubai. This position supports the daily operations of a niche brass products manufacturing company, ensuring efficient communication, documentation, and client handling. The ideal candidate will be highly organized, well-spoken, and comfortable working in a dynamic environment serving premium clients.
Key Responsibilities:
- Manage daily office operations including scheduling, filing, correspondence, and meeting coordination.
- Handle phone calls, emails, and WhatsApp communications professionally in English (Arabic proficiency is an advantage).
- Prepare quotations, purchase orders, invoices, and delivery notes while maintaining accurate trackers and databases.
- Liaise with production, logistics, and suppliers to ensure orders are processed and delivered on schedule.
- Assist in creating presentations and basic reports using Microsoft Office tools.
- Welcome and host clients or visitors to ensure an exceptional customer service experience.
- Maintain confidentiality and uphold documentation accuracy.
Requirements:
- Minimum 3 years of administrative or office support experience (preferably within the UAE or GCC).
- Fluency in English; knowledge of Arabic is a strong advantage.
- Excellent communication, time management, and organizational skills.
- Proficient in Microsoft Excel, Word, PowerPoint, and shared drives/calendars.
- Strong attention to detail, punctuality, and professionalism when dealing with niche clientele.
Value-Added Skills:
- Background in manufacturing, metals, interior fit-out, or custom product industries.
- Familiarity with basic accounting entries, quotations, and inventory tracking.
