Administrative Secretary

 

Description:

A leading Paint manufacturing and distribution company based in RAK is looking for an Administrative Secretary to assist us with office administration.
Job Responsibilities:
1. Reporting to management and performing secretarial duties.
2. Answering, screening and forwarding incoming phone calls, taking messages and handling correspondence.
3. Arranging and scheduling appointments, meetings and events (producing agendas and taking meeting minutes).
4. Preparing facilities and arranging refreshments for events / meeting, if required.
5. Coordinate with other departments for setting up meetings and assisting them with Data entry works, as required.
6. Monitoring emails received to the company’s general email address and segregating them before forwarding the same to the relevant departments.
7. Coordinating mail-shots and similar marketing / publicity tasks
8. Maintaining the company website and handling other social media platforms.
9. Filing documents, as well as entering data and maintaining databases.
10. Observing the best business practices and etiquette.
Skills Required:
1. 1-2 years of experience as an Administrative Secretary would be advantageous.
2. Excellent knowledge of Microsoft office (Excel, Word, Outlook, etc...)
3. Ability to liaise internally and externally on administrative matters.
4. Exceptional filing, record keeping and organizing skills
5. Excellent written & verbal communication skills.
6. Prior Knowledge / experience in social media marketing is highly preferred.
7. Arabic Knowledge is an added advantage.
8. Having a valid UAE driver’s license is an advantage.
