Customer Service Coordinator

 

Description:

Provide effective co-ordination of operations and logistics to help both agents, customer, and exhibitor.

Job Accountabilities:

  • Assist with organizing and delivering logistical aspects of the event.
  • Support exhibition manager in a successful development and deliveries of newly identified strategies.
  • Obtain Disposal Instructions forms from project staff for booking of return freight.
  • Use Cargo Manifest to Monitor clearance – ensure timely clearance.
  • Continually monitor and research the market for new venues.
  • Check all commercial invoice / packing list for corrections of information – values, etc.
  • Arrange for venues and negotiate prices to maintain the budget.
  • Query our agents / exhibitors immediately re accurate ETA dates / times.
  • Prepare and send quotations to customers, when instructed.
  • Ensure all invoices go on time.
  • Prepare and report for all purchase orders, executed contracts, and invoices for approval.
  • Submit invoices promptly for payment.
  • Understands department process flow, constantly looking for areas of improved efficiency.
  • Maintains exhibition records and sends closing correspondence, final reports, and statistical information, as required.
  • Open job files when Pre –advice received. maintain Job files.
  • Check duties / taxes computations for all shipments if any.
  • Comply and implement the local laws and client’s requirements related to QHSEMS aspects at workplace, as per the bestowed authority and responsibility.
  • Carries out any additional tasks assigned (in line with qualifications and ability) by line manager.

Qualifications & Education

Bachelor’s degree in any stream.

Experience

Minimum 3years of related experience in freight forwarding background.

Must have the knowledge of Exhibition Logistics

Knowledge & Skills

Fluent in English; Arabic an advantage.

Excellent communication and problem-solving skill.

Computer knowledge.
