Logistics Officer

 

Description:

The Logistics Officer will oversee the flow of goods and services within the supply chain, ensuring timely deliveries, efficient inventory management, and clear communication among stakeholders. The role is critical in coordinating all logistics functions related to FF&E (Furniture, Fixtures & Equipment) for hospitality and high-end residential projects.

 

Skills & Requirements

 

  • Minimum Experience: 4 years in the logistics sector
  • Preferred Qualification: Professional qualification or Degree in Logistics or related field
  • Language: Fluent in English
  • Key Skills: Excellent communication and organizational skills

 

Duties & Responsibilities

 

  • Coordination and Management
  • Oversee FF&E Logistics: Manage the entire logistics process, including procurement, transportation, warehousing, and installation of FF&E.
  • Timely and Accurate Delivery: Ensure that all FF&E items are delivered on time and in perfect condition.
  • Supplier and Vendor Relationships: Build and maintain strong relationships with suppliers, manufacturers, freight forwarders, customs brokers, and installation contractors.
  • Warehouse Monitoring: Oversee storage and organization of FF&E, ensuring proper handling of temperature-sensitive and fragile items.
  • Supervise Loading/Unloading: Ensure the safe handling and unloading of FF&E items in compliance with company policies.

 

2. Planning and Optimization

  • Develop Logistics Strategy: Create logistics strategies to optimize supply chain efficiency, reduce costs, and improve delivery timelines.
  • Route and Shipment Planning: Plan transportation based on project requirements, accounting for size and fragility of items.
  • Analyze Logistics Data: Review data and KPIs to identify inefficiencies and areas for cost savings.
  • Demand Forecasting: Work with procurement and sales teams to forecast demand and manage stock levels.

 

3. Documentation and Compliance

  • Maintain Records: Ensure accurate record-keeping for shipping documents, invoices, delivery notes, installation schedules, and customs paperwork.
  • Regulatory Compliance: Ensure that all logistics activities comply with local, international, and environmental regulations, such as safety standards and customs clearance.

 

4. Communication and Reporting

  • Regular Updates: Provide management with updates on shipments, expected delivery times, and any potential issues.
  • Internal Coordination: Collaborate with internal teams to ensure alignment on logistics and installation schedules.
  • Logistics Reporting: Prepare performance reports and identify areas for improvement in logistics efficiency.
  • Customer Communication: Communicate with clients about the status of their orders, address issues, and ensure satisfaction with products and installations.

 

5. Problem-Solving and Risk Management

  • Identify Risks: Recognize risks in the FF&E supply chain, such as shipment damage or delays, and develop contingency plans.
  • Resolve Issues: Address logistical problems swiftly to minimize project delays.
  • Vendor Negotiation: Negotiate favorable terms with vendors, shipping carriers, and service providers, ensuring cost-effectiveness and high-quality service.
