Office Administrator

 

Description:

The Office Administrator is responsible for overseeing the management of the Head Office in Dubai and providing support to the Operations and Legal Team with documentation requirements with the Malls and Landlords, Coordinating schedules, arranging meetings, and disturbing memos and reports.

 

Main Duties and Responsibilities

  • Act as a trusted Personal Assistant to the Group Managing Director.
  • Coordinating schedules, arranging meetings, disturbing memos and reports and ensuring that everyone is kept current with necessary company news and information.
  • Booking of all Travel, hotels, visa and additional logistics as required
  • Provision of personal support, as required
  • Managing costs of all travel and logistics, ensuring the most cost-effective options are booked at all times
  • Booking of meeting rooms
  • Liaising with relevant General Management to ensure the timely delivery of all Board and Executive Management Meetings
  • Provide all support required to ensure that all mandated legal documentation for all outlets within the Malls and Landlords are in place.
  • Oversee the maintenance management of the Head Office i.e. Air-conditioning, lighting
  • Approval of the office supply invoices, excluding stationary, prior to sending to finance for payment
  • Oversee the management of the Pantry orders, invoices and Petty Cash
  • Attend to all emails received from Mall Management and ensure that they are actioned accordingly

Qualifications:

  • Bachelor’s Degree in Business Administration, desirable but not essential
  • 5+ years experience as a Personal Assistant or Executive Assistant
