Team Summary
The Finance and Administration team ensures that the Foundation is a trusted and effective steward of its finances and operations. The team’s focus is to provide the Foundation and its external partners with consistent, timely and effective operating processes while also providing a) useful and productive financial data so that it can make informed decisions and b) excellent controllership over its processes, commitments, and information.
Position Summary
The person hired in this role will need to be a problem solver, trusted business partner, and technical project manager. They need to have understanding and experience with accounting tasks particularly for payables and payroll in US, Canada, and other international contexts. This role will ensure accurate and timely bill processing as well as calculation of wages, benefits, tax withholdings, and company deductions.

Payroll Processing – 35% of the time
- Implement, maintain, and review payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
- Process, prepare and submit changes in the payroll (e.g. new starters, leavers, salary increases, statutory leaves, and timesheets).
- Run changes to the payroll related to secondary benefits such as pension, health insurance and other required regulations.
- Prepare and upload payroll journals in accounting software.
- Verify records and reports of payroll transactions from third party providers, and handle clarifications and corrections as needed.
- Payables Processing – 35% of the time
- Review and enter invoices into the bill processing system, verifying coding and ensuring proper configuration for approval.
- Reconcile vendor accounts on a scheduled basis to ensure accounts are in good standing and project future payables.
- Review and approve corporate credit card transactions.
- Budgeting, Reporting, and Audit – 15% of the time
- Facilitate audits by providing records and documentation to auditors.
- Participate in internal and external payroll audits to ensure accuracy and compliance.
- Maintain a wide variety of payroll and payment information for the purpose of providing an up-to-date reference and audit trail.
Payroll and Accounting Communications and Systems Management – 15% of the time
- Answer employee questions regarding paychecks, deductions, credit card management, and employee reimbursements.
- Communicate with vendors regarding invoices and banking information.
- Identify and recommend updates to payroll processing and bill payment software, systems, and procedures, focusing on efficiencies and best practices.
- Develop and update user procedures, guidelines and documentation.
- Other payroll and accounting duties as assigned.
Qualifications
- 5+ years of payroll and payables processing and accounting experience.
- Payroll processing experience in both the United States and Canada, with additional experience in processing global payroll through PEO and EOR vendors.
- Payables processing experience, ideally using a cloud-based platform such as Bill.com.
- Extensive knowledge of the payroll function, including preparation, balancing, internal controls, and payroll taxes.
- Proficient in MS Office, particularly Excel, for data management and calculations.
- FPC or CPP certification is strongly preferred.
