Sales Admin/data Specialist

 

Description:

We are seeking a highly organized, process-oriented, and data-driven individual to join our team as a Sales Admin / Data Collection Specialist. The ideal candidate is not just a collector of data, but someone who is very good at presenting and reporting data in a very clear and understandable manner, and is passionate about supporting a fast-moving sales team through systems, accuracy, and operational discipline.

Key Responsibilities:

  • Support the sales team by managing CRM entries, updating pipelines, and ensuring data integrity across tools and systems.
  •  
  • Collect, clean, and organize sales data from various sources for reports and dashboards.
  •  
  • Monitor lead generation and conversion metrics, and track performance KPIs on a daily/weekly basis.
  •  
  • Assist in building and maintaining streamlined sales processes and documentation.
  •  
  • Provide timely administrative support such as meeting scheduling, call summaries, and follow-ups.
  •  
  • Collaborate with sales managers and closers to ensure efficient handoffs and timely communication.
  •  
  • Ensure that all leads are properly categorized, followed up on, and escalated if needed.
  •  
  • Prepare presentations and sales performance summaries for internal use.
  •  
  • Perform audits of data systems and recommend improvements to enhance efficiency.

 

Qualifications:

 

  • Bachelor’s degree in Business Administration, Marketing, or a related field is preferred.
  • Proven experience in a sales support, operations, or administrative role (experience in sales data handling is a must).
  •  
  • High proficiency with Google Workspace, Excel/Sheets, and CRM systems (e.g., Zoho, Salesforce, or similar).
  •  
  • Strong analytical and organizational skills — must love spreadsheets and structure!
  •  
  • Ability to translate data and clearly report this data for proper understanding and decision making.
  •  
  • Exceptional attention to detail and follow-through.
  •  
  • Strong communication skills (written and verbal).
  •  
  • Self-starter mindset, with the ability to work independently and manage multiple tasks.
  •  
  • Process-minded – able to create and refine SOPs, checklists, and systems for repeatability.
  •  
  • Ability to thrive in a fast-paced, high-performance environment.
  •  
  • Positive attitude, strong work ethic, and a genuine interest in supporting team success.
  •

  • Experience in a coaching, online education, or remote sales-driven environment.

  • Familiarity with automation tools (e.g., Zapier, Airtable, or Notion).

  • Background in business intelligence or reporting dashboards is a plus.
