Position Overview

We are seeking a highly organized and professional Secretary to join our team in Dubai. The ideal candidate will provide comprehensive administrative support to ensure efficient office operations and excellent communication flow within the organization and with external partners.

Key Responsibilities

  • Manage calendars, schedule meetings, and coordinate appointments for executives
  • Handle incoming calls, correspondence, and emails professionally and efficiently
  • Prepare and edit documents, presentations, and reports
  • Organize and maintain digital and physical filing systems
  • Coordinate travel arrangements and prepare itineraries
  • Take minutes during meetings and distribute them to relevant team members
  • Assist with event planning and coordination as needed
  • Perform general office duties including ordering supplies and managing office equipment
  • Act as a liaison between management and other staff members
  • Welcome visitors and provide initial point of contact for clients

Qualifications

  • Bachelor’s degree in Business Administration, Office Management, or related field (or equivalent experience)
  • 2+ years of experience in an administrative or secretarial role
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills in English (additional languages are a plus)
  • Strong organizational and time management skills
  • Ability to handle confidential information with discretion
  • UAE residency status or eligibility to work in UAE
