With offices in Germany and Dubai, we are expanding our international presence and are looking for an Administrative Assistant/Office Secretary to join our team in Dubai.

 

Responsibilities

  • General office administration and assistance to management
  • Verify vendor invoices and prepare them for accounting
  • Execute and track payments (online banking, transfers)
  • Monitor office inventory and place timely re-orders
  • Maintain vacation/leave records and attendance overviews
  • Schedule, coordinate, and follow up on meetings and appointments
  • Draft, format, and file correspondence, letters, and reports
  • Perform research, compare offers, and communicate with suppliers
  • Support ad-hoc organizational tasks and small projects

 

Qualifications

  • Commercial/administrative background or equivalent experience
  • 3+ years in office administration or executive assistance (international setting a plus)
  • Proficient with MS Office (Word, Excel) and common online tools
  • Very good English (spoken and written); German is a plus
  • High reliability, discretion, accuracy, and a structured, hands-on approach
  • Strong organization skills and attention to detail
