Description:
We are hiring an Export Documentation Executive to manage end-to-end export and import documentation, coordinate with freight forwarders and shipping lines, and ensure full compliance with UAE and destination-country requirements. The role requires strong hands-on experience with trade documents, carrier portals, customs processes, and government approvals.
Key Responsibilities
Export Documentation & Compliance
- Prepare and issue export documents including: Commercial Invoice, Packing List, Certificate of Origin (Dubai Chamber & Ministry of Economy), Export Health Certificate, and Phytosanitary Certificate.
- Process Export Declaration, VAT Exit Certificate, and coordinate with relevant parties to ensure timely clearance and shipment release.
- Prepare and compile LC (Letter of Credit) export documents, ensuring compliance with bank/customer requirements and shipment timelines.
Import Documentation & Government Approvals
- Manage import documentation and approvals including MOFAIC attestation, FIRS, ATLP, and Import Release Permit (MOCCAE) (as applicable).
- Support Dubai Municipality production registrations and related submissions such as FITR / FLRA.
- Coordinate and obtain duty exemption approvals for import of machinery and related items when required.
Freight Forwarder / Shipping Lines Coordination
- Work closely with freight forwarders and shipping lines for shipment planning, schedules, and documentation timelines.
- Perform online booking with major carriers and submit shipping instructions via carrier portals.
- Obtain and manage Bill of Lading (B/L); verify B/L drafts, coordinate customer approvals, and ensure final B/L accuracy before release.
Shipment Execution & Record Management
- Track shipment status and ensure all documents are completed on time to avoid delays/demurrage.
- Maintain accurate documentation records (physical and soft copies) for audits and internal reference.
- Coordinate with Sales, Warehouse, QA/QC, and Finance teams to ensure shipment readiness and documentation accuracy.
Requirements / Qualifications
- 2–5 years experience in export documentation (preferably in FMCG / Food Manufacturing).
- Strong knowledge of export/import documentation, LC documentation, and UAE trade processes.
- Practical experience dealing with freight forwarders, shipping lines, and carrier portals.
- Familiarity with UAE authorities and portals (Dubai Chamber / MoE / DM / MOCCAE / customs-related processes) is an advantage.
- Good communication skills and strong attention to detail.
- Proficient in MS Office (Excel, Word); ERP/SAP knowledge is a plus.
