The officer also tracks and reports monthly environmental data, such as utility consumption across all portfolios, and provides insights into desk usage to improve space optimization. They provide ongoing support for other facilities-related operations and ensure the workspace meets the needs of employees and the business while promoting a safe, sustainable, and efficient environment.

Accountabilities

Leadership Skills: Effective leadership is crucial for overseeing the facility technicians and contractors. This involves not only supervising the churn projects but also inspiring and motivating the team members to perform at their best. Additionally, strong leadership entails collaborating with other departments and building tenants to ensure seamless coordination and alignment of objectives.
Problem-Solving Abilities: A Facilities Officer must possess excellent problem-solving skills to tackle complex issues related to facility management & office projects. This includes identifying and addressing challenges such as optimizing space utilization & resolving maintenance issues prior to final sign off of all small office projects. Creative thinking and strategic problem-solving are essential for finding innovative solutions to enhance operational efficiency and mitigate risks.
Communication Skills: Effective communication is essential for interacting with various stakeholders, including building tenants, contractors, vendors, and other personnel. Clear and concise communication is key to conveying technical information, discussing project requirements, and addressing concerns promptly and professionally. Strong communication skills foster positive relationships and facilitate collaboration among different parties involved in facility management.
Budget Management: Experience in budget tracking is critical for a Facilities Officer to allocate resources effectively and optimize cost efficiency. This involves analyzing financial data, forecasting expenses, and making informed decisions to meet the diverse needs of different spaces within the building while staying within budgetary constraints. Effective budget management ensures that funds are allocated strategically to support operational objectives and maintain facility standards.
Risk Management: Understanding risk management principles is essential for identifying and mitigating potential hazards or liabilities associated with maintaining high-value equipment areas and ensuring the safety of building occupants. This includes conducting risk assessments, implementing preventive measures, and establishing emergency response protocols to minimize risks and ensure compliance with safety regulations.
Customer Service Orientation: Dedication to providing high-quality service to building tenants is fundamental for maintaining tenant satisfaction and retention. This involves actively listening to tenant & customer needs, addressing their concerns promptly and professionally, and delivering timely solutions to enhance their experience within the building. A customer-centric approach fosters positive relationships with tenants and contributes to a positive reputation for the facility.
Adaptability: Flexibility and adaptability are essential traits for handling dynamic and challenging situations that may arise in facility management. This includes responding effectively to emergencies, accommodating changes in tenant requirements, and adjusting operational strategies to meet evolving needs. Being adaptable enables Facilities Officers to maintain operational efficiency and compliance in the face of changing circumstances

 Education & Experience 

Must have at 3-5 years’ experience in a Facilities Officer Role or Similar, additionally he must be Familiar with the building regulations and standards for best practice. The Facilities Officer must have the knowledge and skill set on Autocad drawing for 2D drawings the knowledge of 3D design will be beneficial. The below skills are required.
Bachelor's degree 
Technical skills: Knowledge of building systems and equipment, familiarity with maintenance and repair procedures, understanding of safety regulations.
Communication skills: Ability to effectively communicate with tenants, contractors, and other stakeholders, both verbally and in writing.
Problem-solving skills: Capacity to identify and resolve issues related to building maintenance, safety, and operations.
Organizational skills: Ability to prioritize tasks, manage multiple projects simultaneously, and maintain accurate records and documentation.
Customer service skills: Dedication to providing excellent service to building occupants and addressing their needs and concerns in a timely manner
