Operational Specialist

 

Description:

We are looking for a Global Logistics & Admin Coordinator fluent in Chinese (Mandarin) to manage international logistics operations while also supporting administrative duties and direct coordination with senior management and the CEO. The role requires strong organizational, communication, and multitasking skills to ensure smooth logistics execution and efficient management support.

 

Key Responsibilities

Global Logistics Operations

 

Coordinate international shipments (air, sea, and land) across global trade routes

 

Liaise with Chinese suppliers, freight forwarders, shipping lines, and customs agents

 

Track shipments and ensure on-time delivery from origin to destination

 

Handle import/export processes in compliance with international trade regulations

 

Documentation & Compliance

 

Prepare and review logistics documents including Invoices, Packing Lists, BL, AWB, COO, and customs documents

 

Ensure adherence to customs laws, Incoterms, and company policies

 

Maintain accurate logistics records, shipment trackers, and reports

 

Administrative & Management Coordination

 

Provide administrative support to management and the CEO

 

Coordinate meetings, schedules, and follow-ups with internal and external stakeholders

 

Prepare reports, presentations, and MIS for management review

 

Act as a communication bridge between management, Chinese vendors, and internal teams

 

Handle official correspondence in Chinese and English

 

Support management with planning, documentation, and coordination tasks

 

Communication & Coordination

 

Coordinate with warehouse, operations, finance, and sales teams

 

Follow up on pending actions, approvals, and timelines

 

Escalate operational or logistics issues to management proactively

 

Requirements

 

Bachelor’s degree in Logistics, Supply Chain, Business Administration, or related field

 

2–6 years of experience in global logistics, admin coordination, or executive support

 

Fluency in Chinese (Mandarin) – mandatory

 

Good command of English (spoken & written)

 

Strong knowledge of import/export procedures and Incoterms

 

Proficiency in MS Office (Excel, Word, PowerPoint, Outlook)

 

Excellent organizational, coordination, and communication skills

 

Ability to multitask and work closely with senior leadership
