Operations Supervisor

 

Description:

The Flight Operations Supervisor is responsible for supervising the day-to-day operations team to ensure the safe, efficient, and timely execution of all flight support services. The role involves leading the operations team, ensuring compliance with company procedures and aviation regulations, maintaining service quality, coordinating with clients and vendors, and ensuring seamless operational support on a 24/7 basis. The Flight Operations Supervisor is expected to lead by example, drive operational excellence, and ensure that all assigned flights are handled accurately, professionally, and within the required timelines.

Core Job Functions

  • Supervise and coordinate the daily activities of the Flight Operations team.
  • Ensure smooth execution of all flight support services from trip confirmation to flight completion.
  • Allocate tasks, monitor workloads, and ensure timely completion of all operational activities.
  • Act as the primary escalation point for operational issues during assigned shifts.
  • Ensure compliance with Company SOPs, client requirements, and aviation regulations.
  • Monitor operational performance and maintain high service standards.
  • Provide leadership, guidance, coaching, and support to the Operations team.
  • Ensure effective communication between Operations, Commercial, Finance, and Management.
  • Review operational reports and ensure proper documentation of all flights.
  • Maintain operational continuity during shift changes through proper handovers.
  • Support continuous improvement initiatives and recommend process enhancements.

Key Responsibilities

Flight Operations

  • Coordinate aircraft handling arrangements worldwide.
  • Arrange landing permits, overflight permits, airport slots, PPRs, and handling services.
  • Coordinate fuel arrangements and monitor fuel releases.
  • Coordinate hotel bookings, crew transport, catering, security, and other trip support services.
  • Monitor flight movements and proactively manage operational changes.
  • Ensure all client requests are handled accurately and within agreed timelines.
  • Coordinate with international vendors, FBOs, airport authorities, civil aviation authorities, and service providers.

Team Leadership

  • Supervise, mentor, and support Operations Executives.
  • Conduct shift briefings and ensure effective task allocation.
  • Monitor employee performance and provide regular feedback.
  • Ensure adherence to shift schedules, attendance, punctuality, and Company policies.
  • Recommend training requirements and support employee development.
  • Escalate performance or disciplinary concerns to the Operations Manager and HR.

Quality & Compliance

  • Ensure compliance with Company SOPs and quality standards.
  • Ensure operational documentation is complete and accurate.
  • Maintain confidentiality of client and Company information.
  • Ensure all operational updates are communicated promptly.
  • Participate in internal audits and corrective actions where required.

Client Service

  • Maintain strong relationships with clients through professional communication.
  • Ensure prompt responses to operational requests and enquiries.
  • Resolve operational issues with minimal disruption to client operations.
  • Maintain high levels of customer satisfaction and service delivery.

Reporting

  • Prepare shift reports and operational handover reports.
  • Report operational incidents, delays, client complaints, and irregularities.
  • Escalate critical operational issues immediately to Management.
  • Maintain accurate operational records and documentation.

Key Performance Indicators (KPIs)

  • Timely execution of all assigned flight operations.
  • Compliance with Company SOPs and operational procedures.
  • Accuracy of permits, handling arrangements, and operational documentation.
  • Client satisfaction and response time.
  • Reduction in operational errors and service failures.
  • Effective shift planning and resource utilization.
  • Team performance, discipline, and productivity.
  • Timely reporting of operational incidents.
  • Effective communication with internal departments and external stakeholders.
  • Adherence to attendance, shift schedules, and Company policies.
  • Continuous process improvement and operational efficiency.

Qualifications

  • Flight Dispatcher License
  • Bachelor's degree or equivalent qualification.
  • Aviation-related qualification preferred.

Experience

  • Minimum 5–7 years of experience in Business Aviation, Flight Operations, or Trip Support.
  • Previous supervisory or team leadership experience preferred.
  • Strong knowledge of international flight operations and trip support services.
