Team Leader

 

Description:

The Team Leader – Administration oversees Admin team and coordinates all administrative activities related to PRO and EOR services. This role ensures effective documentation, audit compliance, process implementation, and interdepartmental coordination to maintain operational excellence. The position acts as a primary escalation point representing Admin Team under Operations Department.

 

Key Responsibilities:

🔹Administration & Audit

  • Oversee the administration and periodic audit of:
  • EOR (Employer of Record) Services
  • PRO (Public Relations Officer) Services
  • Supplier Management processes

🔹Supervision of Log Management, Document Archiving, and Audit

  • Ensure maintenance and accuracy of:
  • Project Log
  • Service Contract Log
  • Job Card Log
  • Employee Log

🔹GulfHR Management

  • Manage GulfHR platform updates and ensure data integrity.

🔹Templates Management

  • Develop, update, and maintain document templates for operational use.

🔹Validations

  • Conduct validation checks for:
  • Job Cards
  • Sales Orders

🔹Reporting

  • Prepare and deliver:
  • Weekly and monthly reports as required by Management

🔹TCA Administration

  • Oversee:
  • ADNOC Registration & Contracts
  • Client document filing
  • Serve as client point of contact for relevant services

🔹General Administrative Tasks

  • Perform:
  • Service Contract–Sales Order–Tax Invoice Reconciliation
  • Insurance renewals coordination
  • PRO clients’ expiry alerts to KAM
  • Follow-ups with stakeholders to ensure task completion
  • Review and implementation of current and new processes
  • Car rental arrangements for staff

🔹Focal Point for Issue Resolution

  • Act as the primary contact to resolve issues related to:
  • Invoicing
  • Supplier Payments
  • Payroll
  • Job Cards
  • Accounts Receivable

🔹Cross functional support

  • Take up additional tasks or responsibilities as and when required to meet business needs.

Qualifications & Experience:

  • Bachelor’s degree in Business Administration, Management, or related field
  • 5+ years of experience in Administration within PRO, EOR, or related services
  • Prior experience in managing cross-functional teams is preferred
  • Solid understanding of UAE regulations and administrative processes
  • Preference for candidates with UAE Driving license
  • Team management experience
