We are seeking an exceptionally organised and proactive Executive PA & Administrator, the right hand to our business and principal . This is a dynamic, multi-faceted role for someone who thrives on variety, takes full ownership, and executes with precision across HR, finance, personal administration, and property management
.01 — HR & STAFF ADMINISTRATION
Manage end-to-end staff onboarding and offboarding processes
Handle employee visa applications, renewals, and cancellations
Coordinate medical insurance enrolments, renewals, and claims
Liaise with IT for equipment setup, system access, and offboarding
Manage stationery and office supply procurement and stock levels
Maintain accurate and up-to-date employee records and HR documentation
Handle Company yearly renewals
02 — FINANCE & BOOKKEEPING
Call in, receive, verify, and file supplier and vendor invoices
Ensure that filing is correct and up to date
Manage VAT invoice collection where needed
Maintain weekly cashbook
Assist with basic bookkeeping, expense tracking, and reconciliations
Liaise with the accountant or finance team to ensure accurate record-keeping
03 — PERSONAL PA & EXECUTIVE SUPPORT
Manage complex travel arrangements including flights, hotels, and transfers
Coordinate calendars, meetings, and executive schedules
Handle personal errands, appointments, and ad hoc tasks for the principal
Draft and manage correspondence and communications on behalf of the executive
Anticipate needs and proactively manage priorities with minimal direction
Coordinate maintenance and repairs for the principals personal properties in the UK
Liaise with the agents for the clients personal properties
Ensure that all compliance is in order for the principals personal properties
Maintain records of property-related documents, payments, and service history for submissions to tax authorities
WHAT WE'RE LOOKING FOR
Experience
5+ years in a PA, EA, or senior administrator role, within the UAE. the person must be based in the UAE and should be able to commute to our offices in World trade centre, Dubai
Experience of working in a design firm or creative industry is a bonus
Bookkeeping Knowledge
Solid understanding of basic bookkeeping, invoicing, and UAE VAT requirements.
UAE Knowledge
Familiarity with UAE visa processes, MOHRE, and relevant government portals.
Communication
Excellent written and verbal communication skills are required
Fluent English (written and spoken); Other language skills are an advantage.
Technology
Proficient in Microsoft Office, and accounting software such as Xero or Sage
Character
Flexible, Discreet, self-motivated, calm under pressure, and highly reliable with a proactive mindset and a can do attitude .
